Where should a business start with document management?
Start with one high-volume, high-friction process, most often invoice handling or client file management, digitise it end to end, and prove the time savings. How does scanning and capture actually work?
Documents are scanned at your multifunction devices or in bulk batches. Text recognition (OCR) reads the content, key details such as supplier, date and amount are extracted automatically, and the document is filed and routed based on what it is, with no manual naming or retyping.
Is digital document storage GDPR compliant?
Done properly, it is far more compliant than paper. Access is controlled per person, every view and change is logged, retention schedules delete documents when regulation says they should go, and encrypted storage replaces filing cabinets that anyone with a key can open.
