Sustainable printing: cutting cost and carbon at the same time
Here is the happy secret of print sustainability: almost everything that reduces your environmental impact also reduces your bill. Fewer devices use less energy. Uncollected prints that never print save paper and toner. Duplex halves paper use. This is one of the rare corners of business where the green choice and the cheap choice are the same choice.
Where print waste actually comes from
- Uncollected jobs. Documents sent to print and never picked up, abandoned in trays and thrown away.
- Single-sided colour by default. Twice the paper, and colour toner burned on internal documents nobody needed in colour.
- Too many devices. Desktop printers idling all day use a surprising amount of energy, and each one needs its own consumables.
- Reprints. Jobs printed to the wrong device or lost in a queue, then printed again.
None of this is about people being careless. It is what happens when a fleet is unmanaged.
The fixes, and what they save
- Consolidate the fleet. Fewer, newer, energy-efficient multifunction devices replace a sprawl of desktop printers. Less energy, fewer consumables, less to maintain.
- Turn on secure release. With a platform like uniFLOW, jobs only print when the user badges in at the device. Uncollected waste drops to effectively zero, and confidential documents stop sitting in trays.
- Set duplex and mono as defaults. People can still choose single-sided colour when it matters. They just stop getting it when it does not.
- Recycle properly. End-of-life devices and used consumables should go through responsible recycling routes, not landfill.
Prove it, do not just claim it
Sustainability increasingly has to be evidenced, in tenders, in ESG reporting, to your own board. A managed fleet reports duplex rates, mono versus colour, volumes per department and the trend over time. That turns “we try to print less” into numbers you can put in a bid.
